GENERAL PURPOSE:
Performs a variety of secretarial duties designed to expedite the services provided through the Juvenile Probation Department.
SUPERVISION RECEIVED:
Works under the general supervision of the Chief Juvenile Probation Officer.
EXAMPLES OF DUTIES:
Types a variety of documents, i.e. grant applications, quarterly reports, correspondence, interstate compact applications, or such other documents as may be required, from dictation, notes and/or written drafts.
Enters pertinent data into the computer for the purpose of tracking all juvenile offenders, together with contact notes, fees due and paid to reflect the current status of the case as well as sending out all billings and collections.
Maintains a file on all pertinent material related to individual cases, community based resources, and important document information.
Answers the telephone, takes messages or directs incoming calls to appropriate parties. Serves as a receptionist and greets clients as they appear for appointments. Maintains the appropriate amount of office supplies. Administer drug tests as well as mailing tests to the appropriate labs.
MINIMUM QUALIFICATIONS:
- Education and Experience
- Must have at least a High School Diploma or Equivalent.
- Secretarial experience or experience in some other comparable position providing exposure to probation terminology, methods and procedures.
- Required Knowledge, Skills, and Abilities:
Working knowledge of modern office practices and procedures, working knowledge of grammar and punctuation.
Ability to perform secretarial duties, maintain filing and record keeping system; ability to work well with the public and develop effective working relationships; ability to communicate effectively verbally and in writing. Must be able to work in high stress situations. Must be able to maintain confidentiality in all matters pertaining to files, clients, and conversations pertaining to this position. Must be self-motivated and have the ability to follow instructions with minimal supervision.- Special Qualifications:
Must be able to type 50 – 60 wpm. Must be proficient in using Work and Excel. - Why are you interested in this position?
